AI Quoting for Machine Shops: What's Actually Useful

The manufacturing industry is getting pitched AI tools from every direction. Most of them require CAD file uploads, ERP integrations, or a dedicated implementation team. For a small job shop doing custom work, that's not useful — it's a distraction.

What is useful: AI that can take a plain English job description and turn it into a structured, line-item quote in under two minutes.

Why plain English matters

A lot of quoting requests come in informally. A customer calls and describes the part. They send an email with a rough description. They stop by the shop and sketch something on paper. In these situations, you don't have a CAD file. You have a description, some dimensions, and your knowledge of what the job is going to involve.

The traditional approach is to translate that into a spreadsheet yourself. You look up material costs, estimate op times, do the math. It takes an hour or more for a moderately complex job.

An AI that can take that same description — "50 aluminum brackets, 2x3x0.25 inch, 6061-T6, two 1/4-20 tapped holes each" — and break it into line items automatically does something genuinely valuable. It gets you to a draft in seconds instead of an hour.

What AI doesn't do (yet)

AI doesn't replace your judgment. The draft it produces is a starting point, not a final quote. You still need to review the op times, verify the material assumptions, and make sure the scope matches what the customer actually needs.

AI also doesn't understand your shop's current backlog, your tooling situation, or the nuances of a customer relationship that might affect how you price a job. Those are still yours.

The right mental model

Think of AI as a first-draft tool. It handles the mechanical parts of building a quote — the structure, the line items, the math — so you can spend your time on the parts that require judgment. That's a worthwhile trade for any shop fielding more than a handful of quote requests a week.
